How to coordinate trip planning across scattered details

Coordinate a trip by making dependencies and ownership visible—not by asking everyone to maintain the same master checklist.

1. Collect decisions, not every possible task

List the choices that can change the trip: transport, lodging, chosen activities, timing, shared responsibilities, and known constraints. Keep the source for each decision close enough to review later.

2. Name one owner and one next check

For each active decision, name who can move it and what evidence would change it. This prevents an open question from becoming a vague responsibility shared by everyone.

3. Re-rank when the trip changes

When a date, traveler, or activity moves, revisit only the dependencies it touches. The best next action is the smallest check that keeps the rest of the plan safe to understand.
